How do you know you're using WalkMe the right way?

The WalkMe Digital Adoption Platform is *so capable* that a large value I bring to implementations is helping clients understand HOW best to tackle a particular challenge.

Here's a recent client example.

We are implementing WalkMe on a SaaS application, employee-facing, about 1000 users.

One of a dozen use cases for this initial roll-out is that we have certain tasks that need to be accomplished on certain days of the month.

The conversation starts like this....    "Can we put a pop-up in the system?"

Yes, this seems like a simple enough task for a ShoutOut:

But before we build, we need more context.

Does everyone perform the same tasks?  No, there are two user bases of 500 each and tasks are performed on different days.

OK, now we are talking about targeting WalkMe content based on the user so we're into Segmentation.

This leads us to discuss what Segmentation is, how it works, how it's different than just Display Conditions on an item.

How do we get the list of who is in which group?  It's defined in Excel.  And the date rule applies at the business-level, not the individual-level.

What data do we have about the user?  We have the email address coming through our Azure IDP.

OK, so we could set up a segmentation rule based on domain name of email address.

Can we do better than that? 

If I have 10 people at a business, do they all need the notice?  No, it's only one person.

OK - Can we get JOB TITLE added to the IDP integration?  If so then I can target communication unique to the individual.

Next, how are we going to make sure this is successful?  Need to make sure the ShoutOut and flow have goals connected with them.

Wait, do we have or do we need a completion rate for the current process?  Might want to set up Engaged Elements to track.

OK, let's talk about staging this communication.  We want our setup and maintenance to be as easy as possible.

Does the content of the communication need to vary throughout the year?  Do I give a different message in January than I do in July?

If so, we're creating month-specific ShoutOuts.

No?  Turns out it can be the exact same message each time?  Then we look at the Frequency - Custom with Monthly Repeating feature.

Great, now we have an approach:

  • Two ShoutOuts, different ShoutOuts per user group.
  • Add job title to IDP.
  • Target at the individual level.
  • Date repeat monthly.

Now, if you've built WalkMe before you know the next challenge.  How are we going to TEST this?

I either need to add myself to the User Segment OR be able to login as a user in one of these groups.

But once all of that is sorted?  Yeah, we can put a pop-up in the system!

Bottom line - WalkMe is so capable, it really helps to have set of eyes on a solution.  Keep asking questions until we've got enough context to know the right way to implement.
